Personal Information collected from Customers and Users

We collect personal data from our customers and users of the Services (which includes employees of our corporate or institutional customers) for our own purposes, such as to provide and administer our Services.  In respect of any corporate or institutional entity, where such an entity provides us directly with personal data relating to its employees or other users that it has authorised to access our Services, it must have all necessary consents, permissions or registrations to process and to provide to us its employee’s or additional users’ personal data.

Information you Choose to Provide to PiiQ Media 

You have the ability to provide additional information to PiiQ Media such as names, email addresses etc.  In addition, in order to use our services, you provide information necessary to conduct detailed analytics such as but not limited to keywords, names, date of birth, locational information, and social media profiles.  You can choose not to provide certain information, but then you might not be able to take advantage of many of our features.  We only use your information to provide you and your organization with social media risk analysis and digital intelligence and only relevant data is shared with any 3rd party service after being anonymised for the protection of the user.

Automatic Information 

We receive and store certain types of information whenever you interact with our platform.  For example, like many, we use “cookies”, and we obtain certain types of information when your web browser accesses our platform or website.

Email Communication 

To help us make emails more useful and interesting, we often receive a confirmation when you open an email from piiqmedia.com if your computer supports such capabilities.  If you do not want to receive emails from us please adjust your Account Preferences in the ‘Settings’ tab in our platform.

Data Security

We shall take all reasonable steps to protect the Personal Data from loss, misuse, and unauthorized access, disclosure, alteration and destruction.  Our Company has put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the Personal Data from loss, misuse, unauthorized access or disclosure, alteration or destruction.  However, our Company cannot guarantee the security of Personal Data on or transmitted via the Internet.

Compliance with Laws and Regulations

We may disclose your information when we believe in good faith that (i) disclosure is required by a search warrant, subpoena (whether criminal or civil), civil investigative demand, court order, or a request for cooperation from a law enforcement or other government agency; (ii) disclosure is appropriate and necessary to report a suspected crime (including any case of suspected child exploitation) or prevent physical harm to an individual or property; (iii) disclosure is appropriate and necessary to enforce our rights; and (iv) disclosure is required by law.  Nothing in this Privacy Policy shall be deemed to create any third party right, and we reserve the right to object to any third-party requests for information in appropriate circumstances.

This also covers your rights under the applicable laws, such as GDPR and CCPA.  If you exercise any of the rights under these we will communicate any deletion or amendment of your personal data or restriction of processing carried out in accordance with your request to each individual to whom the personal data has been disclosed unless such communication is impossible.  If you wish to exercise any rights and/or obtain information relevant to the processing of your data contact us at info@piiqmedia.com.  You will be asked to confirm your identity in order to verify the request has come from you and we will respond within one month of verifying your request but we retain the right to extend this to two months in exceptional circumstances.  If we extend this period we will inform you of this within the first month.

Note: An objection to processing could mean that we are unable to provide you with our Services.

Data Retention

Personal user data is stored within our servers which are located in Germany with Hetzner Online Gmbh.  Their data protection policies are in accordance with the GDPR (European Union’s General Data Protection Regulation), the BDSG (Germany’s Federal Data Protection Act), and the TMG (German Telecommunications Act).  Any passwords created by users and held within our servers are automatically hashed for security and cannot be identified even by PiiQ Media employees.  A user may access their personal details, held by PiiQ Media, by accessing the “Settings” tab within our platform.  Within this section the user has the ability to change any or all of their personal information as and when they require. A user has the right to delete their account or personal information but should be aware that by doing so it may affect their ability to access certain future services supplied by PiiQ Media.  PiiQ Media also reserves the right to delete accounts in the event that users do not comply with our own company requirements for use of our services.  We retain user’s personal data for the period necessary to fulfil the purposes outlined in this Privacy Policy and/or any Services Agreement, unless a longer retention period is required by law (e.g. for tax or accounting purposes or due to other legal requirements) or storing of the data is needed for the establishment, exercise or defence of PiiQ Media’s legal claims, in such case, we will store only the data necessary for the enforcement of our claims or our defence for the period necessary in the given case and not exceeding the statutory limitation periods.  There is also a necessity to retain certain information relating to transaction history or unpaid balances etc. If PiiQ Media is informed by a client, in writing, that a user is no longer to have access then their personal information will be deleted immediately in order to prevent them accessing PiiQ Media services.  If a Services Agreement expires or is cancelled then all personal data linked to the clients account will be deleted unless for any of the aforementioned reasons above. Users of PiiQ Media services should note that PiiQ Media does not sell any personal data to any third parties. 

Communications

We may send you Service and administrative emails and messages.  We may also contact you to inform you about changes in our Services, our Service offerings and important Service related notices, such as security notices.  These emails and messages are considered part of the Services and you may not opt out of them.  In addition, we sometimes send emails about new product features or other news related to our platform.  You can opt out of these at any time in Account Preferences.

Marketing

We may contact you about our news, events, Services and their features that we believe may interest you, providing we have the necessary consent to do so.  We will also contact you if we have legitimate interests to provide you with marketing communications, within the limits provided by law.  In this case we will only send you this information if you are using or have recently used any of our services and have not objected to receiving such information.  Your marketing preferences may be changed at any time by sending us an email directly or using the “Contact Us” section on our website.

If you receive unwanted, unsolicited from us or purporting to be us, please forward a copy of the email to info@piiqmedia.com for review.

Please not that important information relating to our Services are not affected by your marketing preferences.

Changes to Privacy Policy

We may update this Privacy Policy from time to time by posting an updated Privacy Policy on our PiiQ Media website and SaaS platform.  Your continued use of our services constitutes your agreement to the updated Privacy Policy on a prospective basis.  We will also notify you (via message to the email address associated with your account) of any such changes to this Policy.

Business Transfers

If we are involved in a reorganization, merger, acquisition or sale of our assets, your information which is a transferred business asset may be transferred as part of that deal.  This information remains subject to the promises made in any pre-existing Privacy Policy (unless, you, the customer consents otherwise).  We will notify you (via message to the email address associated with your account) of any such deal and outline your choices in that event.
